  • Identity & Account Data: First name, last name, email address, password, phone number, and organization details.
  • Applicant Screening Details: Social Security Number (SSN), date of birth, current/previous address history, employment details, income verification documentation (e.g., pay stubs, bank statements), and landlord reference details.
  • Financial & Payment Data: Credit card numbers, bank account numbers, routing details, and transaction history. Payment data is processed via third-party processors (such as Stripe and Teller) and is not stored directly on our servers.
  • MFA Details: Phone numbers, TOTP authenticator secrets, or WebAuthn credential IDs used for Multi-Factor Authentication.
  • Usage & Device Data: IP address, device type, browser characteristics, operating system, and tracking details collected via cookies.

2. Plaid Integration and Financial Connections

We use Plaid, Inc. ("Plaid") to verify your bank account details, authenticate your identity, and securely connect your financial institution. By using these features, you grant TenantWiseApp and Plaid the right, power, and authority to act on your behalf to access and transmit your personal and financial information from the relevant financial institution.

Information retrieved through Plaid is processed in accordance with Plaid's own privacy policy, which can be reviewed at https://plaid.com/legal. This data includes account balances, transaction history, account holder names, and routing/account numbers.

3. Identity Verification Services

To prevent rental fraud and ensure compliance, we utilize advanced third-party identity verification providers. This includes Plaid Identity Verification (IDV) and other integrated partners. During this process, you may be asked to scan a government-issued photo ID (such as a driver's license or passport) and perform a biometric facial match.

These biometric features and facial verification scans are processed directly by our identity verification partners. TenantWiseApp does not store raw biometric data on our servers; we only receive the verification status and details (e.g., matched name, date of birth, and fraud score indicators).

4. How We Use Your Information

We use the information we collect to operate, maintain, and improve our services, including to:

  • Facilitate rent payments, process transactions, and verify account balances.
  • Perform credit checks, background screenings, and income verification checkups as authorized by applicants.
  • Configure white-label custom domains, secure administrator authentication, and enable MFA protections.
  • Send system notifications, email/SMS/voice alert configurations, and maintenance updates.
  • Enforce our Terms of Service, satisfy compliance programs, and prevent fraudulent activity.

If you are accessing the Services from the European Economic Area (EEA) or states with comprehensive privacy laws (such as California, Virginia, Colorado), we process your personal data under the following legal bases:

  • Performance of a Contract: Where processing is necessary to fulfill our contract with you or your landlord.

If configured on your account, we may send you automated SMS/text alerts or place automated voice phone calls (using partner providers like Telnyx) to deliver MFA codes, urgent rent balances, or maintenance work order status updates. You can manage or disable specific notification channels inside your user settings panel at any time.

9. Sharing Information with Partners, Affiliates, and Subsidiaries

We do not sell your personal information. However, to operate our platform effectively and provide comprehensive leasing services, we share your data with:

  • Integrated Third-Party Partners: Companies facilitating credit reports, eviction databases, identity matchings, and payroll checks (e.g. TransUnion, Checkr, Truv, Stripe, Teller, Telnyx).
  • Parent Companies, Affiliates, and Subsidiaries: We may share collected data with our corporate group, parent entities, subsidiaries, or joint ventures to streamline account validation, consolidate analytical metrics, and support cross-platform customer assistance.
